Cohort Maintenance: Working with Attribute, Cohort, Advisor Codes

Some academic programs, such as the ROOTS program, use codes to identify their students for tracking purposes. The following process associates each student with:

      • A program Attribute Code
      • Cohort Code
      • An Advisor Code

Programs that use this system have already had these codes created in Banner through their collaboration with the Student Support Systems Manager.

Step 1: Associate the Student with Your Program’s Attribute Code


  • From the Banner Main Menu, type SWPSATT, then press Enter on your keyboard.

  • Click in the third block ("Parameter Values"), right side.

  • On the right side (in the ‘Values’ column), enter the following information:
    • Term Code (201201 for Winter 2012, 201202 for Spring 2012, etc.)
    • Attribute Code for your program
    • ID (Student’s G #. Make sure you capitalize the ‘G.’)
      • To enter more than one G#: type in the first ID, then press the insert record Insert Record icon to add a line. Next, type the Parameter or line number (03), then type in the second ID.
      • Alternately, you can enter the name of a Population Selection -- use parameters 04--07 to specify the details and leave the ID field (Parameter 03) blank.

  • Check the save parameters box and then press save.

  • Go to Report Viewer and view your report (and verify that your student(s) attribute codes were successfully added to their record).




Step 2: Associate the Student with a Cohort Code


  • From the main Banner menu, type SWPCADD, then press Enter on your keyboard.

  • Click into the “Parameter Values” block. 

  • On the right side (in the ‘Values’ column), enter the following information:
    • Term Code (201401 for Winter 2014, 201402 for Spring 2014, etc.)
    • Cohort Code
    • Student ID (Student’s G #. Make sure you capitalize the ‘G.’)

  • Check the save parameters box and then press save.

  • Go to Report Viewer and view your report (and verify that your student(s) cohort codes were successfully added to their record).
  • Note: To associate a large group of students with a Cohort Code, you may want to use the Uploading Process to import G Numbers and run the Banner report GWRPOPR report. Next, run SGRCHRT to mark the students you uploaded with the correct cohort code. 


 

 

Step 3: Associate the Student with the Correct Advisor


  • From the main Banner menu, type SWPADVI, then press Enter on your keyboard.

  • Click into the “Parameter Values” block. 

  • On the right side (in the ‘Values’ column), enter the following information:
    • Term Code (201201 for Winter 2012, 201202 for Spring 2012, etc.)
    • Advisor Code (each program has a code)
    • Student ID(s) (Student’s G #. Make sure you capitalize the ‘G.’ You can add in more than 1 student ID at a time by using the insert record Insert Record icon.)
    • Advisor ID (Advisor’s G #.)

  • Check the save parameters box and then press save.

  • Go to Report Viewer and view your report (and verify that your student(s) advisor codes were successfully added to their record).
