To Allocate to more than one FOAP by exact amounts.

  • Type in the first budget (FOAP) in the Accounting allocation fields.
  • Press Tab repeatedly until you get to the first field under the column 'USD'. (Do NOT 'check' the % checkbox.)
  • In the first USD' field, type the exact number to be charged to your FOAP (for example, 1000 for $1000), then press Tab.
  • Press the Down Arrow on your keyboard to create a second FOAP line. 
  • Type in the next set of FOAP's.
  • Repeat steps for each FOAP.
  • When you are finished entering all FOAPs to be charged, press Next Section  or click on the next tab, "Balancing/Completion", to continue.
  • Verify that it says "BALANCED" in the Status fields on the lower right side. If it does not, go back to the previous tab and check your dollar amounts, making changes as needed.
  • If the FOAPs are a collective from various college organizations, Purchasing will need to be contacted to complete the allocation process.

To Allocate to more than one FOAP by percentage.

  • Type in the first budget (FOAP) in the Accounting allocation fields.
  • Press Tab repeatedly until you get to the % checkbox, located just to the right of the word "Extended" on the right side of your screen.
  • Put a 'Check' in the Extended checkbox.
  • The first field under the column 'USD' will be highlighted automatically. Type the percentage to be charged to this FOAP, then press Tab. (for example, type '50' for 50 percent). 
  • Press the Down Arrow on your keyboard to create a second FOAP line. 
  • Type in the next FOAP to be charged.
  • Repeat steps for each FOAP to be charged.
  • When you are finished entering all FOAPs to be charged, press Next Section  or click on the next tab, "Balancing/Completion", to continue.
  • Verify that it says "BALANCED" in the Status fields on the lower right side. If it does not, go back to the previous tab and check your dollar amounts, making changes as needed.
