SWRSLST is the printable roster report. It shows who is registered for a given CRN (class).

 SWRSLST is a Banner report, which means it is a printable roster. You can run SWRSLST to give you a list of students enrolled in a given class (CRN), several classes, or a whole group of classes. 

If you choose to, you can specify that you want to each student's G Number, address and/or phone number to appear on your roster report.

Like other Banner reports, this process involves two steps:

Part I: Going into SWRSLST, specifying what you want, and then saving your work.

Part II: Going to Banner Report Viewer and viewing your report. From here, you can also print it.

You must know the CRN number(s) for the class(es) you want before going into SWRSLST.



PART I of the Process: Run the Report

  1. Log into Banner.
  2. From the Banner search box, type SWRSLST, then press Go button on the next screen.
  3. Click into the get the 'Parameter Values' section
    1. Press the Down Arrow on your keyboard (or click wirh your mouse) to navigate to the different parameters. To navigate the pages of parameters click the right or left arrows at the bottom of the section. 
    2. If you have entered parameters before, you may just need to update the term and CRN. If you have not entered parameters before, see Other Parameter Options below. 
      1. For updating just the Term Code and CRN:
        1.  On the second line (or second "parameter"), type in the Term Code for the term you want on the right side (see picture above). For this example, use the Term Code for Fall 2010=201004.
        2. Press the Down Arrow on your keyboard (or click wirh your mouse) to navigate to the CRN field (Parameter 04).
        3. Type in the CRN (Course Reference Number) for the course you want to print a roster for.
        4. For this example, use the CRN 44192

Saving the Report:

  1.  Once you've updated the necessary parameters, click into the submission area. 
  2. 'Check' the checkbox "Save Parameter Set As" on the bottom left of the screen.
    1. Checking this checkbox saves what you typed in the 'Parameters' section for next time, so that every time you go into this report it will default to those values (until you change it). This way you won't have to look up the term, CRN, etc. next time you go into this Banner report.
    2. You won't always want to check this checkbox -- sometimes you'll want to save what you typed for next time, other times you won't. For this example, we ARE checking the checkbox. 
  3. Lastly, Click "Save."
    1. You will get the message "Saving Parameter Set as Default." Click OK.
    2. Did you get the message "Look for printout" on the lower left corner of your Banner screen? If you did, it means you are ready for the next steps. If you got an ERROR message instead, fix the errors and then 'Save' again. If you can't figure out what to do, "X" out of this screen and start over.  

Other Parameter Options:

There are ways you can refine your roster report. For example, you can include addresses and/or phone numbers for each student (Parameter 10), or student G Numbers (Parameter 18) on your rosters, or print all rosters associated with a specific subject or campus. Here is a more detailed description of each parameter.

04CRNREQUIRED. Type in the five-digit CRN (course reference number) for the course(s) you wish to print rosters for. 

To print rosters for a large number of classes, such as all Math classes or all classes for a given division, leave the default of "%" and use other parameters to specify your group of classes.

05No Grade Report OptionLeave the default of 'N' in most cases.

Typing "Y" creates rosters of only those course sections that contain students who have not yet received grades. This is used by Student Records and other departments at the end of the term.

06Sort OptionLeaving the default of "I" sorts your rosters by instructor's last name. 

If you wish to change the sort order, type in one of the codes below:

A=Alpha by Attendance Method, then by Instructor's Last Name
S=Alpha by Subject (e.g. MTH), then Numeric by course number  (e.g. MTH 20, MTH 21, MTH 22)
C=Numeric by CRN
P=In order of Class Start Date
I=Alpha by Instructor Last Name (default)
Example: I
07Campus (% = all)Leave the default of '%' in most cases.

This field can be used to print rosters for an entire campus, or in combination with the Subject Code parameter to specify only course sections associated with a specified subject and campus.

If you have specified the CRN in Parameter 04, or the Attendance Method in Parameter 15, we recommend leaving this field as "%".

If you choose to specify the campus, you may type one of the codes below:

S = Sylvania
C = Cascade
R
 = Rock Creek
O = Workforce and Community Education
(Note: from 2004 until Spring 2015, 'O' was used to designate 'SE Open Campus' classes, which included SE Campus and Workforce and Community Education classes)
E = Southeast Campus (from Summer 2015 to the present)
L = Columbia Gorge
T = Tillamook Bay

Leave the default of % in most cases.

Alternate Example: R (for Rock Creek campus)

08Degree StatusLeave the default value of "%"

This parameter is generally used by Student Records only.

Leave the default of % in most cases.
09Combine Crosslisted SectionsLeave the default of "N" in most cases.

If you wish to print only one roster among a group of classes held in the same room at the same time ("Crosslisted Classes"), type "Y".

If you are using saved parameters, you must manually change this field each time you run it.

13Primary Instructors OnlyLeave the default of "N" in most cases. 

If there is more than one instructor for your class(es) and you wish to have an extra roster printed for the second instructor, type "Y" in this field.

14Subject (% = All)Leave the default of '%' in most cases.

This field can be used to print rosters for an entire subject, such as MA for all Math classes. It can also be used in combination with the Subject Code parameter to specify only course sections associated with a specified subject and campus.

If you have specified the CRN in Parameter 04, or the Attendance Method in Parameter 15, we recommend leaving this field as "%".

A complete list of all PCC subject codes appears in the Banner form STVSUBJ.

(e.g. MTH = Math, WR = Writing, JPN = Japanese), or leave "%" if not using this field

Leave the default of % in most cases.

15Attendance Method  (% = All)Leave the default of % in most cases.

If you wish to specify all CRN's associated with a given Attendance Method, leave the CRN parameter as "%" and put the appropriate Attendance Method Code for this parameter.

16Drop Student ColumnLeave the default of N if you want student names to appear on your roster. 

Change this field to "Y" if you wish to print student G#'s without names.

If you wish to print only rosters for classes which begin on a specific date, enter the date here.

Leave blank in most cases.

Alt. Example: 01-FEB-2007 for February 1, 2007

18Print Student IDLeave the default of 'Y' in most cases.

If you wish to print student names only, without Student ID numbers, type "N".

19Use PCC or Student email address (P/S)?Leave the default of "P" if you want the student's MyPCC email address to appear on the roster.

Type "S" instead if you want the student's personal email address to appear on the roster (IF they provided it to PCC and it was entered into GOAEMAL).

Leaving this field blank is not an option. You must choose either "P" or "S".

Please note that you must indicate something besides "%" in at least ONE of the following fields: CRN, Subject, or Attendance Method.



PART II of the Process: View and/or Print the Report

Now it's time to see the report you created, and print it if you need to.  

  •  Open PCC's Banner Report Viewer page, located at http://intranet.pcc.edu/banner/reports (on-campus link). 
  •  Report Viewer is available as a link on the main PCC Intranet page.

  • If you are OFF-campus, go to the MyPCC Employee tab and click on the "Report Viewer" link on the left side (under the category "Banner") to access Banner Report Viewer.

 

  You will be directed to Banner Report Viewer, which will give you a list of Banner reports you have created:


What do the blue abbreviations mean? Where's my Report?

Click on the blue dot that represents what kind of paper size you want for your report. 
We recommend "LC -- Landscape Compressed."

Once you've clicked on the blue abbreviation you want, your report will open using Adobe Acrobat Reader. You can then print it.
  • If you do not see any reports in your viewer, it means that no reports have been successfully run. Go back to Part I above and try again.
  • One of the most common mistakes is not capitalizing letters that need to be capitalized.
