SWRFTYR - Enrollment Summary Report (by Year)

Note: This report can take up to several hours before it is available for viewing in Report Viewer.

The Banner report SWRFTYR provides a summary of unduplicated headcount and enrollment for an entire academic year. For example, you can run this report to show how many students enrolled in Welding classes at Rock Creek during the academic year 2013-14.

Because SWRFTYR is an extract report and not based on "live" data, enrollment numbers will not change from day to day. You can run this report to give you a headcount / enrollment summary based on any or a combination of the following factors: campus, subject, attendance method, building, session code, CRN, major, Orgn. code, level code, or instructional method. For more information about options, see the directions below.

  1. From the Banner search box, type SWRFYTR, then press Go button on the next screen
  2. Click into the get the 'Parameter Values' section
    1. Press the Down Arrow on your keyboard (or click with your mouse) to navigate to the different parameters. To navigate the pages of parameters click the right or left arrows at the bottom of the section. 
    2. If you have entered parameters before, you may just need to update the term and CRN. If you have not entered parameters before, see Other Parameter Options below. 

  1. On the right side, type in your parameter values. Use the table below as a guide:

What to Type

01 Academic YearThe academic Year -- for example, 2013-14 for the academic year starting Summer 2013 and ending Spring 2014.

02 Campus Code

The Campus Code for the campus you want.

If you don't want to narrow your report down based on campus, use "%" for all.

1 = Sylvania

2 = Cascade

3 = Rock Creek

4 = SE Campus

(Note: Until Spring 2015, '4' was used to designate the 'Extended Learning Campus', which included SE Campus as well as Workforce and Community Education classes)

W = Workforce and Community Education (from Summer 2015 to the present)

5 = Contract Out of District

6 = Education Services

7 = Tillamook Bay

8 = Columbia Gorge

03 Attendance Method Code
The Attendance Method code associated with your department's classes  -- for example, N4 for PCC Prep Alternative Programs.

If you don't want to narrow your report down based on Attendance Method, use "%" for all.

You can specify more than one Attendance Method by typing in the first code, then clicking on the Insert Record icon. In the blank line that appears, type "03" (for parameter #3), then type in the second attendance method code.

04 Subject Code
The academic Subject Code (like BI for Biology classes). 

If you don't want to narrow your report down based on subject code, use "%" for all.

You can specify more than one Subject by typing in the first code, then clicking on the  Insert Record icon. In the blank line that appears, type "04" (for parameter #4), then type in the second code.

05 Session Code

If you don't want to narrow your report down based on Session code, use "%" for all.

Some programs use Session Codes. To see a list of Session Codes, click on the (located to the right of the row).

If you don't want to narrow your report down based on Session code, use "%" for all.

06 Building Code

If you don't want to narrow your report down based on Building Code, use "%" for all.

To see a list of Building Codes, click on the (located to the right of the row).

07 CRNIf you want to run this report based on a single CRN, type in the CRN here. If you don't want to narrow your report down based on a single CRN, use "%" for all.
08 Major Code

If you want to run this report based on a single Major Code, type in the Major Code here. If you do not, use "%" for all.

To see a list of Major Codes, click on the (located to the right of the row).

09 Level Code

CR = Credit

CU = Continuing Education Unit

NC = Non-credit

If you don't want to narrow your report down based on Level Code, use "%" for all.

10 Organization CodeThe Organization (budget) Code associated with your department's budget.

If you don't want to narrow your report down based on Organization Code, use "%" for all. (Partial Orgn. Codes are not permitted in this field.)

11 Instructional Method

Enter the Instructional Method, if desired. (This is primarily for Distance Learning classes.) Otherwise, use % for all.

Saving the Report:

      1.  Once you've updated the necessary parameters, click into the submission area. 
      2. 'Check' the checkbox "Save Parameter Set As" on the bottom left of the screen.
        1. Checking this checkbox saves what you typed in the 'Parameters' section for next time, so that every time you go into this report it will default to those values (until you change it). This way you won't have to look up the term, CRN, etc. next time you go into this Banner report.
        2. You won't always want to check this checkbox -- sometimes you'll want to save what you typed for next time, other times you won't. For this example, we ARE checking the checkbox. 
      3. Lastly, Click "Save."
        1. You will get the message "Saving Parameter Set as Default." Click OK.
        2. Did you get the message "Look for printout" on the lower left corner of your Banner screen? If you did, it means you are ready for the next steps. If you got an ERROR message instead, fix the errors and then 'Save' again. If you can't figure out what to do, "X" out of this screen and start over.
